Classification: Full-time, 40 hours per week, non-exempt, $23-27/hour
Primary Work Location: San Leandro, CA – SOS Meals on Wheels Central Office
SOS Meals on Wheels is a 501-C (3) non-profit committed to providing home delivered meals and a daily check-in for vulnerable seniors in our community. SOS Meals on Wheels produces and delivers 2,500 meals daily for SOS senior clients living in Castro Valley, Hayward, Oakland San Leandro, San Lorenzo, Fremont, Newark, and Union City. As advocates for senior citizens, our mission is to provide a nutritious meal delivered by a friendly face that also acts as a wellness check, allowing seniors to remain independent in their homes for as long as safely possible.
Job Overview: The Volunteer Coordinator is responsible for the day-to-day management of volunteers ensuring delivery meal routes, kitchen volunteer shifts, and other volunteer needs are covered for SOSMOW’s Central and North hubs. They provide support and interacting with senior clients, staff and volunteers on the phone and in person. The Volunteer Coordinator: North & Central reports to the Director of Advocacy.
Responsibilities:
Volunteer Coordination & Retention
• Serve as the point of contact for program volunteers for the North and Central hub (serving Oakland south to San Leandro): addressing inquiries and maintaining regular communications with active volunteers to ensure an effective and positive experience.
• Schedule daily kitchen volunteer shifts and volunteer meal delivery routes for the North and Central hubs. Confirm scheduled volunteer shifts as needed and ensure all volunteer delivery routes are filled with substitute volunteers.
• Perform orientation for new volunteers, covering best practices, SOSMOW policies & procedures, etc. Give Kitchen tours to new volunteers.
• Conduct quarterly volunteer trainings and in-services
• Receive and address concerns from volunteers re: client or program concerns. Elevate as appropriate and communicate with client services and program staff.
• Manage MOW Scheduler: online volunteer management website.
• Keep the volunteer database current with all new volunteers and ongoing updates.
• Work with the Volunteer Team, set up group/corporate volunteer activities, and maintain sign-in sheets to log all volunteer corporate groups.
• Coordinate administrative tasks between paid staff and volunteers.
• In coordination with Client Services, create and provide schedules for student nurses (or staff when students are unavailable) for phone and home assessments on a regular basis as mandated by funders.
Stewardship
• Primary relationship manager for all North and Central Hub Volunteers: Learn names, greet and thank them, and look for ways to ensure a positive volunteer experience.
• Track and recognize volunteer birthdays and anniversaries.
• Work with the Volunteer Team on Volunteer Recognition Awards and Events.
Recruit
• Working with the Volunteer Team, keep all volunteer needs/listings current on SOS website, and with community partners.
• Conduct walk-in and scheduled interviews.
• Process administrative work: filing volunteer applications, completing background checks, creating IDs, etc.
• Outreach event support as needed, engaging with prospective volunteers, supporters, and clients.
Additional Duties
• Additional duties will be added/modified as the volunteer program continues to evolve and grow.
• Provide back-up support to the Outreach Coordinator, and the rest of the Volunteer Team.
• Occasionally cover meal routes as needed. Must possess and demonstrate the following abilities:
• Understanding of and passion for the mission of SOS Meals on Wheels.
• Knowledge of Microsoft Office Suite required. Knowledge of Salesforce, MOW Scheduler, or similar databases preferred.
• Ability to deal courteously and effectively via telephone and face-to-face with a wide variety of people from a broad range of backgrounds.
• Bright, motivated, creative, and diligent with good analytical ability.
• Ability to interact in a positive manner with employees at all levels of the organization.
• Ability to communicate effectively orally and in writing.
• Ability to work independently as well as be a team player.
• Excellent organizational skills, sensitivity to detail and deadlines in a multitasking environment.
• A reliable, working vehicle as well as applicable insurance, to be able to drive to and from meal delivery locations, and for volunteer outreach events and opportunities.
Physical Demands
Work will mainly be conducted in an office environment. Job is performed seated or standing for prolonged periods of time. Regular use of a computer and common office equipment. Some light lifting and bending required.
Work Environment
The noise level in the work environment can be from moderate to loud. The work environment will be ever-changing, with staff and volunteers all sharing the same work area. There will occasionally be wet floors, extreme temperatures, moving objects, and loud noises. The employee is expected to work around a normal kitchen environment that can contain strong smells such as but not limited to food and sanitation chemicals.
